Resources

For the treasurer of a charity or a CASC.

Resources for charity clubs and CASCs: guides on subs, the receipts-and-payments ledger, and Gift Aid, plus the questions treasurers ask. These pages describe how the app is built. They are not tax advice and not accountancy advice.

Questions for a charity

Who submits the claim, what the examiner receives, and how parents pay.

Who sends the Gift Aid claim to HMRC?

The club's authorised official does. SquadPilot prepares the file from cleared payments and the share the club has set on each package. Families pay the full package. We do not submit the claim. A claim that has already been submitted is not edited. A payment that is later reversed is handled on a later claim.

What does the examiner receive?

A receipts and payments face for OSCR, the Charity Commission for England and Wales, the Charity Commission for Northern Ireland, or a CASC. Funds, nominals, exceptions, and an examiner CSV. A book for every team. At £250,000 gross receipts, or where the charity must accrue, the examiner still prepares accruals accounts. This pack does not. SquadPilot is not the examiner.

How do parents pay subs?

Memberships are collected on the club's own Adfin account. One payment request per family per month. SquadPilot connects the way an accountant connects to a client. A failed Direct Debit leaves that month open. The treasurer can send another way to pay the same request. It does not become a second bill.

Questions for a CASC

Gift Aid on membership fees is for a charity. Collection and the examiner file are the same jobs.

Can a CASC claim Gift Aid on membership fees?

Gift Aid on membership fees is for a charity. A club registered only as a CASC cannot claim it on membership fees. If the club later registers as a charity, the receipts-and-payments file is already the one the examiner takes. SquadPilot does not register the club as a charity.
