The receipts and payments file an examiner can take away

Funds, nominals, exceptions, and an examiner CSV for a charity or a CASC, with a book for every team. The pack does not prepare accruals accounts.

The treasurer's file is a receipts and payments face. It is for OSCR, the Charity Commission for England and Wales, the Charity Commission for Northern Ireland, or a CASC. A club that is not a charity sees a management face on the same lines.

SquadPilot is not the examiner. The examiner's job does not disappear. The point of the file is that someone else can take it away.

What is in the file

  • Funds, nominals, and the exceptions still to clear.
  • An examiner CSV.
  • A book for every team. Subs in, expenses out, and a balance the coach of that team can read. The club total is those books added up.
  • Processing in the book. Parents are not charged a surcharge on top of the subscription. On every plan that processing is Adfin's standard rate, 1% plus 20p.
  • The SquadPilot monthly fee as its own Direct Debit, never taken out of a parent's payment.

Expenses are approved in the app. The treasurer still pays them from the bank. The app does not pay the volunteer or the supplier.

Where the pack stops

At £250,000 gross receipts, or where the charity must accrue, the examiner still prepares accruals accounts. This pack does not.

The same file is what a CASC keeps if it later becomes a charity. That move is a change of status, not a second set of books. Gift Aid on membership fees starts only once the club is a charity, and the club's authorised official submits the claim. See Gift Aid reclaim and what a CASC keeps.

Grant funders often ask for the same kind of record. A list of funds clubs apply to is on the grant funding page. The app does not apply for the grant.

This describes how SquadPilot is built. It is not accountancy advice.
