Case study

A community club in a growth phase.

About 300 players in Fife, one treasurer, and room for the next teams. More players use the same process. The extra work on the ground is more lets. On Growth at the top of that band.

Who they are

A community club in Fife, about 300 players, registered as a CASC, with one treasurer on the committee and no office. They want to take more players without a second way of working. The register, the monthly collection, and the committee tasks stay in one place. What grows is the volume, and the lets the club has to find for the extra teams.

The strain

Growth used to mean a thicker spreadsheet, and a treasurer who was the only person who knew how the club ran. They also know a CASC can choose to become a charity, or can be required to. The treasurer does not want that change to mean starting the books again.

What they open on a Monday

The same Monday, with a few more names. One register, one collection per family, the team books, and the committee tasks. A new player follows the process the last player followed. The committee's extra job is obtaining more lets, not inventing another way to collect or to report. They sit on Growth, at the top of that band. If the list keeps growing, Club Pro is the following band: a higher monthly fee, and the same processing rate of 1% plus 20p.

What they can hand to someone else

Coaches see their team book without asking for a fresh export. Another committee member can own a task. If the club registers as a charity, or is required to, the treasurer hands the examiner the same receipts-and-payments file. Gift Aid on memberships is for a charity. A club registered only as a CASC cannot claim it on membership fees. The register is already in the same place, so that step is a change of status, not a new system.

What this does not do for them

It does not register the club as a charity, and it does not find the extra lets. The examiner's job does not disappear. At £250,000 gross receipts, or where the charity must accrue, the examiner still prepares accruals accounts. This pack does not.
