How a Community Amateur Sports Club collects subs and keeps a receipts-and-payments file, and why Gift Aid on membership fees is for a charity.

Collect the subs
One payment request per family per month, on the club's own account. Processing is 1% + 20p on every plan, shown in the book. Parents are not charged a surcharge. The SquadPilot fee is a separate Direct Debit.

Receipts and payments for OSCR, the Charity Commission for England and Wales, or the Charity Commission for Northern Ireland. Funds, nominals, exceptions, an examiner CSV, and a book for every team. At £250,000 gross receipts, or where the charity must accrue, the examiner still prepares accruals accounts. This pack does not.
A reclaim the club submits
The club sets how much of a cleared package payment goes on a Gift Aid claim. Families pay the full package. On the donations page, when Gift Aid is on, the gift is the whole amount. The authorised official submits the file. A submitted claim is not edited. A later reversal is handled on a later claim.

Who sends the Gift Aid claim to HMRC?
The club's authorised official does. SquadPilot prepares the file from cleared payments and the share the club has set on each package. Families pay the full package. We do not submit the claim. A claim that has already been submitted is not edited. A payment that is later reversed is handled on a later claim.

How do parents pay subs?
Memberships are collected on the club's own Adfin account. One payment request per family per month. SquadPilot connects the way an accountant connects to a client. A failed Direct Debit leaves that month open. The treasurer can send another way to pay the same request. It does not become a second bill.
