What a CASC keeps in the books

How a Community Amateur Sports Club collects subs and keeps a receipts-and-payments file, and why Gift Aid on membership fees is for a charity.

A Community Amateur Sports Club is not the same registration as a charity. The treasurer still has to collect the subs and keep books someone else can read. SquadPilot is built for that pair of jobs. It does not register the club as a CASC, and it does not turn a CASC into a charity.

One collection per family

Memberships are collected on the club's own account. One payment request per family per month. SquadPilot connects the way an accountant connects to a client.

Parents pay by Direct Debit. Mandates and payouts sit with the club. On every plan the processing rate on membership collections is Adfin's standard rate, 1% plus 20p. SquadPilot does not add a surcharge on the parent's payment. The SquadPilot monthly fee is a separate Direct Debit on SquadPilot's own account, never taken out of a parent's payment.

A failed Direct Debit leaves that month open. The treasurer can send another way to pay the same request. It does not become a second bill.

Each team still has its own book: subs in, expenses out, and who still owes. The club total is those books added up.

The file a CASC can hand over

The ledger is a receipts and payments face. It is the same shape used for OSCR, the Charity Commission for England and Wales, the Charity Commission for Northern Ireland, or a CASC. Funds, nominals, exceptions, and an examiner CSV. A club that is not a charity sees a management face on the same lines.

Processing shows in the book. The app is not the examiner and not the club's accountant.

At £250,000 gross receipts, or where the charity must accrue, the examiner still prepares accruals accounts. This pack does not. That limit matters if the club later registers as a charity. The receipts-and-payments file is already the one the examiner takes. The change of status is not a new system.

Gift Aid on membership fees

Gift Aid on membership fees is for a charity. A club registered only as a CASC cannot claim it on membership fees.

If the club registers as a charity, or is required to, the same ledger is where that work starts. The club sets how much of a cleared package payment goes on a claim. Families still pay the full package. The HMRC file is for the club's authorised official to submit. SquadPilot does not submit it.

Read the Gift Aid reclaim guide when that status changes, and the receipts and payments guide for what the file contains. Plans are on the pricing page.

This describes how SquadPilot is built. It is not tax advice.
