One login can hold several roles; club roles cover the whole club; a coach is attached to a team for this season.

One login, several roles

One person, one login. They can hold more than one hat.

There are two layers only: a club-wide role, and a team for this season. Lead coach and coach open the same screens. Lead is who the club names as the contact for that team.

Club administrator

Runs the club in the app: membership for the whole club, pitch setup (lets and venues), tactics, governance, holiday camps, club documents, settings, and the GoCardless connection. They can post opening balances and move money between teams.

At least one person must hold this role.

They can also be treasurer, wellbeing officer, or a coach. Removing an administrator is approved by a remaining administrator. Only the administrator role ends; other roles, family records, and payments stay.

Treasurer

Whole-club membership, plans, Gift Aid, every payment, and a one-sided correction on one team or the club account (with a category and a reason). They read weekend pitch allocations.

They do not connect GoCardless, move money between two teams, or set an opening balance. They do not open pitch setup, tactics, or governance unless they also hold a role that does.

They can prepare an administrator invitation, but only an administrator can send it. They can send treasurer and coach invitations.

Wellbeing officer

Child wellbeing cases, discipline, and medical incidents for this club. Not fees, Gift Aid, or pitch settings.

Coach

Lead coach and coach see the same things, on the teams they are assigned to this season. Player names and dates of birth, and whether each subscription is OK or needs attention. No amounts, addresses, or bank details.

They read weekend pitch allocations and can request a pitch. They do not allocate lets or edit venues.

They can log a wellbeing report; they do not open the case list unless they are also the wellbeing officer. In Membership, a coach with no team yet sees nothing until they are given one.

A parent who helps at training is invited as a coach.

Parents

Their own login, created when they are invited to pay. Not a staff role, and not assigned from the staff list.

They can open the club photo wall (Content Hub) and read club documents. They do not open staff tools.

What each role opens

The table below matches what the app offers today. Administrator means club administrator. On club documents, Read only means preview and download. Only an administrator can add or remove a document.

Who can invite whom

  • An administrator sends an administrator invitation.
  • An administrator or a treasurer can send treasurer and coach invitations.
  • The person accepts from the email. The role starts when they accept.
  • Removing an administrator needs a remaining administrator to approve.

Step-by-step invite instructions will be a separate help article later.
